We are looking for coordinators from a variety of professional backgrounds to support in the management of departments within our organisation based in Ioannina, for a minimum commitment of 6 months.

Many of Second Tree’s current coordinators learned how to manage a program or a department with us. We have a strong focus in capacity building and we give a big importance to people who can commit with us for a long period of time, as this gives us the possibility to invest in someone’s role inside the organisation. Valuable people are our biggest asset. Our coordinators grow through the ranks, after having developed an understanding of the organisation, the different areas and the people involved, shadowing other team members and seeing the camps. We encourage (and need) people to take over responsibilities as the organisation is growing quickly and we generally have a turnover of several volunteers who come short-term, and cannot take over managerial tasks.

We are seeking applicants who have the desire to take on coordination roles in any of the following departments. The possible tasks and responsibilities included below are not exhaustive or rigidly defined; an exact role profile is dependent on the skill set of individual applicants.

Volunteer Coordinator

  • Recruiting, training, and supervising new volunteers
  • Overseeing and coordinating the placement and scheduling of volunteers, matching the organisational needs and their specific skills
  • Preparing policies and operating procedures to uphold the organisation’s values
  • Communicating regularly with volunteers to ensure they are satisfied and well-placed

Logistics and Admin Coordinator

  • Maintaining and coordinating organisation-wide financial processes
  • Coordinating the maintenance of relationships with external partners
  • Responding to and forwarding external correspondence
  • Assisting with special projects, such as process improvements and budget development
  • Supporting in programme Monitoring and Evaluation
  • Supporting and coordinating the creation of reports, spreadsheets and presentations
  • Website maintenance

Communications coordinator

  • Developing and implementing yearly communication strategy
  • Ensuring regular communication to key stakeholders, such as current and potential new donors, or current and potential partner NGOs
  • Coordinating and managing the production of Second Tree’s social media content
  • Planning and implementing fundraising campaigns
  • Leading team and supervising meetings
  • Coordinating and supervising tasks of all team members to ensure the quality of work is aligned with the organisation’s standards and the deadlines are met

Grants Coordinator

  • Supporting in the identification of relevant grant opportunities
  • Coordinating and supporting proposals writing
  • Coordinating the development of outlines, timelines, staffing and budgeting for grants according to funding guidelines
  • Ensuring the maintenance of necessary records, databases and resource materials
  • Leading team and supervising meetings
  • Coordinating and supervising tasks of all team members to ensure the quality of work is aligned with the organisation’s standards and the deadlines are met

Skills required:

You have:

  • Experience in project management
  • Experience in managing teams
  • Strong time-management and organisational skills
  • Specialised knowledge and experience in one or more of the areas detailed above

You are able to:

  • Oversee the delivery and the completion of vital administrative and logistical tasks
  • Be accountable and efficient, making sure that tasks that you take up are completed in the agreed timeframe
  • Be honest and transparent, being able to give and receive feedback in the most straightforward way
  • Have a strong sense of humour, being able to make fun of yourself is key
  • Care for people; the interests of the people we work with should always be your first concern
  • Instil the values above in the people that work with you
  • Prioritise and delegate tasks effectively, ensuring all deadlines are met
  • Manage individuals effectively to create a positive team environment in which shared problem-solving is encouraged
  • Communicate in English, both written and orally
  • Learn quickly, managing a wide-ranging and intense workload

Skills Desired:

  • Academic background in International development, humanitarian project management
  • Strong managerial skills

We offer:

  • Accommodation in a shared house.
  • Transportation to/from work.
  • After completion of a three-month trial, if you commit long-term, small monthly expenses refund.

In certain periods of the year, demand is extremely high, and the volunteer houses might be full. If you have the means to pay for your own accommodation, please let us know. We would still be happy to host you if space is available. However, in a situation where the volunteer houses are full, this would allow us to offer a volunteering opportunity to someone that cannot afford to pay rent.

How to apply:

Please send the following to Giovanni Fontana at: volunteers@secondtree.org

1) Your CV
2) Your cover letter
3) Copy of your qualifications (If applicable)

In your mail, please:

4) Put “General Coordinator” as the subject line
5) Specify the dates you would be available to volunteer (starting date and length)
